Reporting to the General Counsel, the Legal and Risk Management Coordinator will provide support to the Legal and Risk Management Department by organizing, tracking, and coordinating key departmental activities, handling sensitive and confidential information.

Key Position Functions:

  • Assist with the review of third-party agreements under supervision of in-house counsel
  • Process contract review requests, coordinate and assign contract clauses for internal review, monitor progress, and assist with the process from inception through to execution
  • Work closely with sales and management to prepare, process, and finalize templated company agreements, qualifying with in-house counsel or Corporate Risk Manager as required.
  • Establish and maintain files in SharePoint and manage SharePoint project sites
  • Manage deadlines for various files, projects and activities, including notifying internal stakeholders of renewing, lapsing, or terminating agreements, and ensure the correct process and template is used for each
  • Screen incoming legal or risk queries (including managing the general legal email inbox), validate the level of assistance and timeline required, and, if necessary, re-direct to department resources or other company personnel
  • Assist with processing and maintaining global trademarks, including working with trademark agents to manage renewals and evidence requirements
  • Draft letters and prepare and modify a variety of documents and reports, and distribute as directed
  • Format Word, Excel, and Adobe documents such as legal contracts, request forms, and tender documents. Run version comparisons on legal agreements or other documents
  • In conjunction with the Records and Retention Management Clerk, ensure all department related documents and records are filed in accordance with company standards and best practices, utilizing SharePoint as required
  • Prepare meeting agendas, attend meetings and record meeting minutes, and assist with department projects
  • Process documents that require legalization and authentication for international jurisdictions
  • Perform general duties as assigned

Preferred candidates will possess a combination of the following:

  • Minimum 5 years’ experience in an administrative assistant role with experience working with senior management is preferred. Previous legal administrative experience with the ability to interpret and understand basic legal contract language is preferred
  • Extremely well organized with the ability to keep track of key matters and projects while working independently
  • Proactive with the ability to work efficiently with minimal supervision, taking measured initiative to research and discover information on an independent basis
  • Proficient with Microsoft Word and Outlook. A working knowledge of Microsoft SharePoint is strongly considered an asset. Familiarity with Adobe Acrobat and Microsoft Excel is desirable
  • Possess very high attention to detail, a high degree of accuracy, and a strong work ethic
  • Ability to work in a high volume environment, with shifting deadlines and priority assignments
  • Enjoy working in a complex corporate structure with multiple departments and locations worldwide
