Billing Law Clerk – U.S. Business Immigration

Location

Flexible (Vancouver, Calgary, Toronto, Ottawa, Montreal, Halifax). We are intentionally designing our environment to support remote work.

Job title

As a U.S. Business Immigration Billing Law Clerk with EY Law LLP, you will provide our clients with integrated, quality services. EY Law LLP helps companies and their employees efficiently relocate wherever they need are needed. The firm's comprehensive range of U.S. business immigration services include obtaining both immigrant (green card) and non-immigrant status (temporary work visas), as well as providing a range of U.S. immigration advisory services for employees and their employers.

Key responsibilities

As a Billing Law Clerk, you will join our U.S. Business Immigration team. You will support multiple and challenging U.S. business immigration engagements and contribute to the delivery of solutions and ideas for our diverse institutional clients.

Skills and attributes for success

Engagement code management

  • Generate and review periodic client Time & Expense reports for accuracy.
  • Verify the Net Unbilled Inventory (NUI) and follow up with internal teams to ensure services are timely and accurately billed.
  • Monitor the engagement margins to identify and raise inefficiencies or errors to the corresponding legal teams.
  • Conduct frequent audits to ensure all services and expenses on client codes are accurate.

Invoicing

  • Send weekly master billing reports to internal teams for invoice generation.
  • Liaise with the invoicing team to audit discrepancies in fees and expenses.
  • Review draft invoices for accuracy and compliance with client requirements.
  • Review and modify the weekly accounts receivable report to ensure outstanding invoices are paid. Follow up with legal teams to action older invoices and/or pursue collections.
  • Coordinate with the internal invoicing team to ensure all monthly submissions are completed during the assigned 5-day SLA.
  • Liaise with internal teams and/or clients to resolve invoicing issues when they arise.

Billing reports

  • Respond to and resolve billing queries or issues on a day-to-day basis.
  • Act as the main contact for leadership, the client and internal team members on all billing-related matters.
  • Generate weekly client billing reports from the firm’s internal case management system and distribute them to the legal teams for review.
  • Run quarterly accrual reports for the client to forecast quarterly billing.
  • Monitor work in progress reports and update leadership on outstanding work.

Miscellaneous

  • Participate and lead internal firm projects, committees, and initiatives related to billing processes and procedures to make them more efficient and effective.
  • Contribute to technology projects related to billing, invoicing, and reporting systems.
  • Assist other legal teams or offices with ad-hoc finance projects as required.
  • Professional Development: may be required to attend seminars and professional development courses that are relevant to their area of specialty.

Qualifications

  • Undergraduate University Degree, College Diploma, or equivalent experience in Finance, Accounting or Business Administration.
  • Experience working withing an Accounting or Finance function.
  • High proficiency with Excel reporting including pivot tables, VLOOKUP’s, macros, etc.
  • Excellent organizational, and verbal/written communication skills.
  • Strong attention to detail.
