The Corporate Services Coordinator will be responsible for a variety of technical and administrative support functions for the Director, Corporate Services & Innovation and the Corporate Services Department (CSD) group in general, related to corporate services projects, legal developments, team and firm training and education, and fees and billing.

Key Responsibilities:

Corporate Services Projects & Initiatives

  • Works closely with the Director on all corporate practice projects and new initiatives
  • Assists in the day-to-day management of the CSD's legal entity management platform and related support resources
  • Performs research and analysis related to special projects
  • Supports the Director in business process innovation initiatives, including automation tools and other legal technologies
  • Works with the Director and the Finance Department to compile, analyze and report data to support fee and billing-related decisions
  • Acts as a point of contact for lawyer and clerk inquiries/requests related to CSD matters

Process Improvement Work

  • Works closely with the Director, Corporate Clerks and Legal Administrative Assistants to identify process improvements aimed at optimizing workflows within the CSD, including the development of precedents and protocols

Internal Client-Facing Work

  • Supports the Director in tracking and responding to legal developments impacting the CSD and the firm's corporate practice generally, including research and liaising with internal and external stakeholders
  • Supports the Director with student and lawyer training and education program development
  • Manages the collection and organization of CSD precedents

General Duties

  • Manages email and calendar for the Director
  • Drafts correspondence and work product for the Director, with applicable oversight
  • Maintains and edits Director and CSD documents
  • Assists with records administration of the CSD electronic and physical corporate records
  • Prepares CSD-specific orientation materials and works with Talent Management and Administrative Services, as applicable, to onboard new CSD team members
  • Manages and distributes all relevant information and guidelines, including precedents, to the members of the Corporate Services team
  • General administrative support for the CSD

Knowledge, Skills and Abilities:

  • 2+ years' experience working in legal and/or a professional services environment
  • Advanced technical proficiency using the entire MS Office Suite, particularly MS Excel
  • College or university degree or equivalent would be an asset
  • Successful completion of the ILCO Corporate Law Clerk course or a law clerk certificate/diploma (or equivalent) would be an asset
  • Strong written and oral communication skills
  • Excellent judgment and problem solving skills
  • Excellent interpersonal and client service skills
  • Strong organizational skills, with initiative and the ability to prioritize competing workloads in a busy environment
  • Excellent attention to detail and follow-up skills
  • Diplomacy and discretion
