General responsibilities of the position :

  • Provide clerical/administrative support in all areas of Product Liability litigation.
  • Responsible for completing small projects or multiple tasks within the legal discipline of product liability litigation.
  • Manage competing priorities to ensure deadlines are met.
  • Maintain an awareness of the basic issues for each litigation.
  • Be able to respond to questions from national counsel and/or of identify the person within P&WC who can respond.
  • Maintain contracts database and litigation databases.

Specific responsibilities of position :

Under minimal supervision, perform the following:

  • Monitor Accident/Incident Notifications; prepare and issue reports to national counsel.
  • For each new lawsuit, open and maintain a matter file. Index all documents associated with the matter into this matter file.
  • Forward all legal documents and claims received at P&WC to National Counsel. Must be documented in file.
  • Compose & issue Litigation Alerts for new lawsuits.
  • Compose & issue Legal Holds to individuals identified as record custodians using legal hold tool.
  • Assist co-ordination of document retrieval from across P&WC (archives, departmental files and personal files).
  • Follow-up on document requests to individuals in P&WC.
  • Maintain contact with National Counsel, ensuring documents are sent and received on time.
  • Coordinate document production for litigations and maintain indexing of such documents.
  • For each new matter, retrieve all documents listed on "Litigation Checklist".
  • Ensure all documents are export control classified before handling. Use appropriate methods for transmitting the export classified documents to National Counsel.
  • Coordinate and maintain up to date, all litigation databases.
  • Working with Technical Liaison Manager, prepare various powerpoint presentations.
  • Become a Commissioner of Oaths for Province of Quebec.
  • Maintain legal services contracts/database and legal dept. subscriptions.
  • General office tasks as needed.

Qualifications required :

  • College degree in Paralegal or Legal Assistant with minimum of 6 years of relevant experience or an equivalent combination of education and related experience.
  • Able to set priorities and self-starter. 
  • Proficient in the use of standard office software. 
  • Experienced in using SAP, Enovia, Documentum, CRM. 
  • Must have demonstrated highest levels of ethics, reliability and confidentiality.
