Family Law Clerk – Litigation Support Location: North York, Toronto, ON (Hybrid) Job Type: Full-time, Permanent Salary: $50,000–$75,000 per year, based on experience About Progressive Legal Solutions Progressive Legal Solutions (PLS) is a growing Ontario family law firm with offices in North York and Barrie. We focus on family law litigation, complex separations, and contested court proceedings. We are looking for an organized, reliable, and proactive Family Law Clerk to join our North York team and provide day-to-day support to our lawyers. Our office is located at 45 Sheppard Avenue East, steps from Sheppard-Yonge subway station. About the Role This position is ideal for a Family Law Clerk who enjoys keeping files organized, coordinating schedules, communicating with clients, and ensuring that lawyers have everything they need to work efficiently. Our priority is finding someone with excellent organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines in a busy legal environment. You will work closely with our lawyers, assisting with court filings, document preparation, client communication, scheduling, and general file management. Key Responsibilities Lawyer Support and File Management Provide daily administrative and legal support to assigned lawyers. Organize and maintain electronic client files, correspondence, and court documents. Monitor deadlines, maintain calendars, and ensure tasks are completed on time. Coordinate meetings, consultations, court appearances, and internal appointments. Assist lawyers with preparing materials for conferences, motions, and trials. Maintain accurate time entries and file information in Clio Manage. Client Communication and Scheduling Communicate with clients to request documents, provide updates, and coordinate appointments. Manage incoming and outgoing correspondence with clients, opposing counsel, and other parties. Follow up on outstanding documents, financial disclosure, and other file requirements. Coordinate lawyers' schedules and manage competing priorities. Maintain professional, timely, and clear communication. Court Filings and Litigation Support Prepare, format, proofread, and organize legal documents, including court forms, affidavits, briefs, and correspondence. File documents through Ontario court filing portals, including Family Submissions Online. Serve documents on opposing parties and counsel, and prepare Affidavits of Service. Communicate with court staff regarding scheduling, filing requirements, and procedural matters. Upload and organize court materials in Case Center (formerly CaseLines). Track court dates, filing deadlines, and service requirements. Microsoft 365 and Office Administration Manage calendars, meetings, and email correspondence using Microsoft Outlook. Prepare and format documents using Microsoft Word and Adobe Acrobat. Work with Microsoft Teams, OneDrive, SharePoint, and other digital office tools. Maintain organized digital records and follow established firm procedures. Assist with general office administration and other tasks as required. Qualifications and Experience Required: 2–5 years of experience as a Family Law Clerk or in a similar legal support role in Ontario. Strong organizational and time-management skills, with the ability to manage multiple files and competing deadlines. Excellent communication skills and a professional approach to working with clients and lawyers. Proficiency in Microsoft 365, particularly Outlook, Word, Excel, and Teams. Experience preparing, filing, and serving Ontario family court documents. Familiarity with Ontario's Family Law Rules and court procedures. Strong attention to detail and ability to follow instructions accurately. Ability to work independently, take initiative, and collaborate effectively with a team. Preferred: Experience with Clio Manage, DivorceMate, and Case Center. Experience supporting lawyers with family law litigation, including conferences, motions, and trials. Familiarity with financial disclosure and Financial Statements. Law Clerk diploma or equivalent relevant experience.
