 We are currently seeking a Property Paralegal Coordinator to join our Paralegal Services team based in the Firm’s Halifax, NS office.

The Opportunity:

The Firm’s Property Paralegal Coordinator is responsible for delivering high-quality property paralegal services while supporting the coordination and oversight of workflow within the Property Department. Working under the supervision of lawyers, the role includes performing complex real property searches and sub-searches through the Registry of Deeds and Nova Scotia’s Land Registration System, preparing and submitting documents for registration, and reviewing title searches. The successful candidate will also prepare Property Disclosure Certification Applications, Applications for Registration, and deed transfer tax documentation, as well as draft and respond to title requisitions.

This role involves managing and organizing commercial and residential property transactions, including acquisitions, dispositions, financings, and refinancings. Responsibilities include maintaining accurate file documentation from opening through closing, preparing correspondence and closing documents, and analyzing off-title search results to produce summary reports. The Property Paralegal Coordinator will also assist with post-closing matters, including tracking undertakings, client reporting, and ensuring Mortgage Protocol compliance, while liaising with clients, lenders, legal professionals, government offices, tax authorities, and other stakeholders.

In addition to technical duties, the role includes coordinating workflow, monitoring team performance, and collaborating with the Manager, Business Paralegals (NL & NS) on system, policy, and financial management initiatives. 

The ideal candidate will possess a recognized post-secondary credential in Paralegal Studies or paralegal training, along with a minimum of five (5) years of property paralegal experience and past leadership experience. Strong knowledge of Nova Scotia’s land registration systems, excellent organizational and analytical skills, and a commitment to professionalism and client service are essential.
