About the role

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Transactions, Analyst based in Canada.

This role offers the opportunity to support critical real estate operations within a fast-paced, technology-driven environment.

The successful candidate will manage transaction documentation, ensure compliance, and coordinate processes from contract submission through closing.

You will play a key role in maintaining accuracy, improving workflows, and supporting agents, brokers, and external partners.

Working remotely, you will leverage digital platforms and collaboration tools to manage high transaction volumes efficiently.

Accountabilities

Manage the complete transaction processing lifecycle, ensuring accuracy and compliance from initial submission through closing. Review contracts and supporting documentation, perform data entry, verify transaction details, and ensure all required information is complete. Process various transaction types, including residential sales, commercial transactions, leases, service agreements, referrals, and cancellations. Coordinate documentation flow between agents, offices, legal partners, solicitors, and external brokerages involved in transactions. Request missing documentation from agents, monitor outstanding requirements, and escalate issues when necessary. Verify commission calculations, MLS information, deposits, invoices, and transaction records for accuracy. Ensure client funds and deposit information are correctly recorded and processed according to established procedures. Prepare and distribute trade records, documentation packages, and required transaction materials. Communicate with internal teams, agents, lawyers, notaries, and external partners to facilitate smooth transaction completion. Maintain professional and timely responses through email, messaging platforms, and other communication channels. Support final approvals and ensure files receive required sign-offs before completion. Collaborate with payout teams to support commission releases and payment processes. Follow operational procedures, regulatory requirements, and confidentiality standards. Support technology adoption by helping agents and staff effectively use transaction platforms and digital tools. Provide frontline assistance with systems, workflows, and compliance processes across transaction operations. Participate in training sessions, technology rollouts, innovation initiatives, and process improvement projects. Share feedback with internal technology teams to identify challenges and improve digital workflows. Maintain knowledge resources and contribute to training materials that improve team efficiency.

Requirements

High school diploma or equivalent professional experience required. Minimum of 2 years of experience processing real estate transactions required. Strong understanding of Canadian real estate transaction processes and provincial requirements. Previous experience in real estate, legal conveyancing, brokerage operations, or related fields strongly preferred. Excellent attention to detail with the ability to manage large volumes of documentation accurately. Strong organizational skills and the ability to prioritize multiple deadlines in a fast-paced environment. Experience managing high transaction volumes, with the ability to handle 200-300 active transactions and process approximately 35 new deals per week. Proficiency with digital platforms and remote collaboration tools; experience with systems such as Skyslope, G Suite, LoneWolf (BackOffice), HubSpot, or similar platforms is an asset. Strong computer skills and confidence working with online systems and software applications. Excellent written and verbal communication skills with professional telephone and customer service abilities. Ability to build strong relationships with agents, legal professionals, brokers, and internal stakeholders. Strong problem-solving, critical thinking, conflict resolution, and active listening skills. Self-motivated, dependable, trustworthy, and comfortable working independently in a remote environment. Adaptable mindset with the ability to adjust priorities and support evolving business needs. Strong team collaboration skills with the ability to work independently and contribute to shared goals.
