Responsibilities:
• Provide administrative and legal secretarial support to real estate law professionals. • Review, edit, format, and transcribe a variety of legal documents. • Compare documents using Litera Compare. • Update client lists. • Perform photocopying, printing, and document scanning. • Monitor internal and external calls and initiate conference calls as required. • Manage lawyers' calendars and email correspondence. • Open new files and ensure ongoing administrative follow-up. • Enter and update information in OnePlace. • Coordinate travel arrangements and book hotels, restaurants, vehicles, and meeting rooms. • Organize meetings, videoconferences, and client meetings, including catering arrangements. • Prepare conflict search requests and follow up as required. • Perform daily time-entry follow-up, as well as weekly and monthly reviews. • Prepare monthly billing. • Prepare expense reports, cheque requests, and trust account bank transfer requests. • Prepare presentation materials as required. • Maintain filing, reminder, and records management systems. • Collaborate with other legal professionals, legal assistants, students, and articling students as required. • Commission affidavits and administer oaths for lawyers and clients.
What you will need to succeed:
• Diploma in Legal Secretarial Studies or an equivalent qualification. • 7 years of experience in a private law firm supporting one or more legal professionals, ideally including a partner. • Bilingual in English and French to support clients in both languages. • Excellent verbal and written communication skills. • Knowledge of legal procedures and practices. • Proficiency with Microsoft Office and standard office software. • Strong organizational skills with the ability to manage multiple priorities. • Ability to work independently with minimal supervision. • Strong team player. • Exceptional attention to detail.
