Your New Role As the Legal Executive Assistant, you will provide a mix of legal, regulatory, and executive administrative support to the Legal & Compliance team. Reporting directly to the Head of Legal, you will play a critical role in ensuring regulatory compliance, managing documentation, and supporting governance processes. This is a fast-paced, detail-oriented position that requires strong organizational skills and the ability to manage strict regulatory deadlines. This is a hybrid role based in Toronto, with 3 days onsite (Monday–Wednesday) and standard business hours of 8:30 AM – 5:00 PM, with some flexibility depending on business needs. Key Responsibilities Prepare and file insurance license applications and renewals across multiple jurisdictions Assist with regulatory and corporate filings, ensuring accuracy and timeliness Coordinate and respond to requests from various regulatory bodies Maintain and organize contractual documentation and legal records Support Board and committee meetings, including scheduling, preparation of materials, and minute-taking Coordinate quarterly meetings, including logistics, documentation, and follow-ups Provide administrative support including calendar management, travel coordination, and team support Prepare professional presentations and reports (PowerPoint, Excel, Word) Assist with onboarding and offboarding processes for team members Manage filing, archiving, and document comparison tasks Support corporate governance initiatives and special projects Become a subject matter resource for internal systems (e.g., expenses and legal entity tools)
What You’ll Need to Succeed 5+ years of experience in a legal assistant, executive assistant, or paralegal capacity Strong experience with regulatory filings, licensing, or compliance-related processes Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) Excellent written and verbal communication skills Exceptional attention to detail and accuracy Strong organizational and time management skills with the ability to meet tight deadlines Ability to multitask and adapt in a fast-paced, high-pressure environment A proactive, self-starter mindset with strong ownership of work Nice to Have Experience in insurance, reinsurance, or financial services Paralegal certification Exposure to corporate governance (Board materials, minutes, resolutions) Familiarity with expense or legal entity management systems Commissioner of Oaths designation Interest or experience using AI tools in the workplace
