Disclosure Clerk

About the role

Key Responsibilities

  • Complete access to information and disclosure requests from individuals, agencies, and legal representatives, including adoption disclosure, in accordance with the applicable policies, procedures, legislation (i.e. CYFSA, PHIPA), and timelines.
  • Use redaction software as required and provide verbal and/or written summaries as directed by Legal Counsel.
  • Collect required documents from requestors, such as signed consents, proof of substitute decision maker status, and identity confirmation prior to releasing the file.
  • Conduct record checks on agency and provincial databases, as required.
  • Communicate with staff, disclosure clients and external agencies, as required.
  • Maintain and update documentation and case notes in applicable databases.
  • Maintain tracking system for disclosure and access to information requests and completions.
  • Perform legal clerk duties, including serving and filing court documents, preparing court forms,  liaising with opposing parties, counsel and the court, and other legal clerk administrative duties as assigned.
  • Perform other duties as assigned.

 

What You Will Bring:

  • Accredited College Diploma in Paralegal or Law Clerk or University degree in related field.
  • Two (2) years’ experience in a related field working with legal disclosures.
  • Experience working within Child Welfare and/or Indigenous Child-Wellbeing setting would be an asset.
  • Knowledge of the privacy provisions of the CYFSA and child protection proceedings. Knowledge of privacy legislation and practice in Ontario, including PHIPA.
  • Demonstrated ability to deal with sensitive information and adhere strictly to privacy and confidentiality policies and practices.
  • Demonstrated superior attention to detail and sound judgement.
  • Excellent written and verbal communication skills. An ability to communicate effectively with a variety of individuals (i.e. lawyers, service providers, clients, etc.). 
  • Thorough understanding of the importance of equity and of addressing systemic oppression.
  • Proficient with technology, including Adobe and Microsoft Suite.  Demonstrated experience with file management systems.
