Who We Are Looking For
The Legal Administrative Assistant (Floater) role has the same duties and responsibilities of a Legal Administrative Assistant role working in any of the practice areas and plays a vital role in delivering legal services to our clients. The focus of this role is to assist with work overflow, provide coverage for LAA absences and any other tasks as may be assigned. This is a great opportunity for someone wanting to strengthen and widen their experience, while growing.
Job Duties & Responsibilities
Provide coverage for absent Legal Administrative Assistants across various practice groups Assist lawyers, paralegals, and legal support staff with overflow work and administrative support requests Prepare, revise, format, and finalize correspondence, legal documents, and other materials using Word and Outlook Draft documentation from email instructions, copy typing, and handwritten notes Open new client files and maintain electronic and physical filing systems Maintain bring forward systems and monitor deadlines to ensure appropriate follow up and receipt of requested documentation Prepare and distribute invoices to clients using accounting software Post lawyer and assistant time entries using accounting software Coordinate and prioritize assignments based on operational requirements and departmental needs Provide mentorship and guidance to Legal Support Clerks as appropriate Maintain confidentiality of client and firm information at all times Perform other related administrative and operational duties as assigned Provide back up coverage to reception and office services with ad hoc projects Perform other related duties as required
Qualifications
Graduate of Legal Administrative Assistant Program or equivalent combination of education and experience 1 - 3 years’ experience minimum in a Legal Administrative support role , litigation, corporate or both Proficient in Microsoft Office Applications Excellent written and verbal communication skills Strong organizational and time management skills Excellent attention to detail and accuracy Experience drafting standard correspondence is an asset Experience supporting multiple professionals and managing competing priorities in a professional services environment considered an asset Able to take direction, show initiative and ask questions Experience with legal accounting or practice management software considered an asset This position is 100% onsite and requires attendance in the office during regular business hours. Remote, hybrid, or work-from-home arrangements are not available for this role

Salary
The salary range for this role is $55,000 to $75,000, which reflects the firm’s reasonable estimate of expected compensation for this role at the time of posting. Actual compensation will depend on a variety of factors, including the candidate’s relevant experience and qualifications.
