PROFILE
Gowling WLG is hiring an Events Coordinator to join our Vancouver office for a 12 month contract!
Events have the power to connect, build relationships, shape perceptions, demonstrate expertise and transcend boundaries. The Events Coordinator plays a key role in supporting the delivery of consistently high-quality event experiences across the Firm — locally and nationally, in-person, virtual, and hybrid. This role focuses on strong execution, operational excellence, and collaboration, while building the foundational skills required to grow into more complex and strategic event delivery roles over time.
Events Coordinators are highly organized, dependable, and service-oriented team players who take pride in delivering polished, well-run events. They work closely with Events Specialists and Leads, as well as colleagues across BD & Marketing, Office Services, Hospitality, and other internal teams to support seamless planning and execution.
RESPONSIBILITIES
Event Coordination & Execution
Independently execute smaller-scale, recurring, or lower-complexity local events with clearly defined objectives, timelines, and requirements, or works with Specialists and Leads in a supporting role Collaborate closely with relevant stakeholders to ensure all initiatives are executed flawlessly, on time and on budget, delivering best-in-class experiences Support and/ or manage event logistics including invitations, registration, materials, name tags, speaker coordination, room setup, AV/technical support, catering, and on-site execution Liaise with internal service teams and external vendors to support timely delivery of event components and smooth on-the-day execution Develop and manage detailed project plans for assigned events, including budgets, approval pathways, key dates and milestones with a high-level of accountability to ensure deadlines and deliverables are met Partner with Communications, Translation, Brand, Digital and Social media teams to activate cohesive event messaging, ensure brand consistency, support promotion, and enable thoughtful follow-up Maintain and update the centralized Calendar of Events to support internal visibility, coordination, and engagement Prepare post-event reports and summaries, including attendance, feedback, and basic KPI tracking Using CRM, support data tracking and basic ROI reporting through campaign and event setup, attendee details, and data accuracy Help support the management of Firm tickets (season tickets for all sporting and concert events), branded merchandise and gifts for client and internal events and initiatives Provide administrative and organizational support to Events & BD team members as needed
Collaboration & Team Culture
Establish and maintain strong working relationships across the Events team, BD & Marketing, and office-based partners to support consistent and effective event delivery Contribute ideas to enhance event experiences and identify opportunities to improve engagement, efficiency, and attendee satisfaction Proactively identify issues, risks, or gaps and escalate appropriately to support successful outcomes Demonstrate curiosity and a growth mindset by incorporating feedback, best practices, and shared learnings into day-to-day work
QUALIFICATIONS
Post-secondary degree or diploma in event planning, marketing, communications, hospitality, or a related field, or equivalent practical experience. Minimum of 1–2 years of experience supporting or coordinating events; experience in a professional services or B2B environment is an asset. Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines simultaneously. Clear written and verbal communication skills, with a professional and client-service-oriented approach. High level of attention to detail and accountability. Comfortable working in a fast-paced, dynamic environment with shifting priorities. Willingness to learn and adopt event technology, CRM tools, and Firm processes. Proficient in Microsoft Office and comfortable learning new systems and platforms. Collaborative team player with the ability to work effectively across cross-functional, dispersed teams.

The starting range for this role is $52,500 to $68,000. Starting salary will be determined based on an applicant’s individual skills, competencies and unique qualifications. Gowling WLG employees have the potential to exceed this range based on tenure and performance.
This position is currently vacant and is open to both internal and external candidates. Gowling WLG is recruiting for this role to support ongoing firm needs and team operations.
