We are currently seeking a Administrative Assistant to join our team.

The Administrative Assistant provides administrative support to the Corporate and Legal Affairs department. Under the direction of the Director, Legal Affairs and Legal Counsel, the Administrative Assistant will provide effective, timely, business-minded service to First West (FW) on a broad range of day-to-day tasks. Responsibilities include providing support to the Corporate and Legal Affairs department by proof-reading, formatting and finalizing correspondence, organizing enclosures, photocopying, saving, and organizing documents, assisting with preparation for various meetings, attending and taking notes at meetings, drafting minutes, preparing legal documents and notices, updating and maintaining legal documents and general legal support.

Here’s what would be included as a part of your typical day

1. Legal Department Support: Supports the legal department with various administrative tasks such as drafting and maintenance of legal policies, legal education management, travel planning for lawyers, calendar management, maintaining correspondence, managing and maintaining registries and acting as a liaison between business departments and lawyers. Assists with governance legal research and manages execution of applicable documents.

2. Meeting & Event Planning: Plans and coordinates meetings, including the Annual General Meeting (AGM), training sessions, roadshows and other events, including third party providers. Attends various meetings as required, takes notes, and drafts meeting minutes. Follows up on action items as required.

3. Filing: Assists with a variety of filings, including registry filing and various online filings.

4. Projects: Provides support to legal affairs primarily, and with other departments within Corporate Affairs as required (eg., Board or other Governance work.)

5. Other Administrative Duties: Performs other administrative duties as assigned.

Required Skills, Experience & Qualifications

• College, Trade or Tech School Diploma or equivalent from a recognized LAA program is an asset but not required

• Other related certifications, designations or licenses are an asset

• Experience with contracts management is an asset

• Experience drafting minutes is an asset

• Familiarity with the filing of documents at the Land Title Office is an asset

• Intermediate skills with computer software applications and MS Office suite

• Demonstrated written and verbal communication skills with the ability to interact with a variety of stakeholders

• Effective time management and organizational skills with the ability to work independently and manage competing priorities and deadlines

• Ability to handle sensitive information with high level of confidentiality and discretion
