Supporting members of the Talent Management team this role is responsible for a full range of administrative support and various initiatives for legal professionals. The role of the Administrative Assistant encompasses a wide range of responsibilities, including performance management, onboarding/offboarding, recruitment of legal professionals, community involvement, and internal database systems management.

Principal Duties & Responsibilities:

  • Support the Talent Management team in various projects, such as recruitment, onboarding/offboarding, performance management, engagement, community involvement, and diversity initiatives.
  • Expense management and preparation of expense vouchers, disbursements and submissions for all expenses into the Talent Management department.
  • Coordinate and schedule appointments, meetings, and engagement events, while maintaining relevant information and preparing meeting materials.
  • Maintain electronic documents using platforms like InterAction, Intranet, iManage and Aderant/viDesktop, ensuring accuracy and adherence to firm policies and procedures.
  • Responsible for the recognition and condolences program for legal professionals.
  • Creates and manages electronic personnel files.
  • Perform other assigned duties as required, within the scope of the position.

Job Specifications:

Education/Knowledge and Experience:

  • Minimum of 1 year working in a professional office environment in an administrative position
  • Strong technical skills, including Microsoft Office and Outlook

Skills and Abilities:

  • Strong organizational skills, with the ability to prioritize and multi-task in a fast-paced environment
  • Confident and professional demeanor, demonstrating exceptional interpersonal and customer service skills.
  • Excellent attention to detail and follow-up skills
  • Diplomacy and discretion
  • Strong writing skills
  • Excellent judgment skills, with the ability to work with minimal supervision
  • Willingness to work overtime during peak periods and flexibility regarding working hours to meet business requirements.
