The Director leads the development of operational plans around client services including client acquisition and onboarding, billing, rate setting, and accounts receivable

You are an insightful, analytical decision maker with a “top customer service” orientation. You can lead a team and understand the culture of a legal professional services firm. You will build and manage relationships with all levels of staff up to and including executive leadership, departmental directors and the Finance Committee.

You have strong critical thinking skills and good judgement in supporting the firm’s internal and external clients. You will support our lawyers by setting and achieving appropriate key performance indicators and efficient back office processes. You develop reporting to drive improvements in profitability and provide insight by identifying and discussing key issues with our internal clients to identify potential opportunities. You can forecast and budget for both revenue and resources and deliver reports that identify risks and opportunities.

You have proven delivery and client facing experience and can be an active leader with our accounts receivable and billing teams. You reduce operational complexity through streamlining processes, optimizing the use of technology and delivering high quality services. You develop and deliver training to share knowledge across the firm to drive operational excellence.

You will proactively lead the client services team by setting strategy, developing efficient operations, and providing advice. You demonstrate expert-level abilities and success as a team leader, helping to grow and develop your team through hands on training and coaching. You supervise teams to create an atmosphere of trust, seeking diverse views to encourage improvement and innovation, and coaching staff with timely meaningful feedback.

Principal Duties & Responsibilities:

Manage the Billing, Accounts Receivables and Data Analytics Teams:

  • Cultivate a collaborative workplace that empowers lawyers and staff to help solve important problems and deliver best practices and approaches to financial management
  • Set performance standards and goals;
  • Coach and develop staff to increase efficiency and deliver outstanding customer service to internal and external customers.

Billing and Accounts Receivable:

  • Drive the transformation and evolution of the Billing and AR people, processes and systems
  • Assist with establishing targets for key metrics and effectively supporting the team to meet or exceed monthly DSO, Accounts Receivable and Cash targets
  • Provide accurate and timely reporting to Finance Committee, Management Committee and lawyers
  • Monitor WIP and AR with stakeholders to reduce the cycle from docketing to collections
  • Oversee setting and monitoring annual standard billing rates and coordinate national and local standard rates across offices
  • Oversee implementation and compliance with non-standard, individual client billing arrangements and guidelines, including alternative fee arrangements, rate discounts, e-billing requirements, special rate sets and other requirements, ensuring that any such arrangements have been approved under firm policies
  • Prepare and analyze complex client billing arrangements
  • Support the Toronto Managing Partners in analysis and communications

Data Analytics:

  • Revenue forecasting and budgeting for top-down and bottom-up approaches
  • Scenario planning for revenue maximizing strategies and resource management
  • Financial planning including setting and measuring against short term and long term operational goals and metrics
  • Billing, Accounts Receivable, and Utilization analytics to enhance the productivity and effectiveness of our lawyers and work allocation processes
  • Analyze data to deliver insights that drive the business and improve the overall performance of the firm
  • Develop dashboards to monitor the business and understand trends
  • Develop strong analytical capabilities within the team

Other Duties:

  • Lead or support financial system upgrades and implementation
  • Identify, evaluate and implement process improvements initiatives
  • Provide training to various departments regarding relevant processes, policies and procedures
  • May perform other duties as assigned within the nature and level of the job

Job Specifications:

Knowledge and Experience:

  • A post secondary degree in finance & CPA Professional designation or equivalent education
  • 10+ years experience in accounting operations, billing and accounts receivable department
  • Minimum 5 years strong managerial experience
  • Proficient in business process improvement and change management
  • Tech savvy and experienced in system upgrades and implementations
  • Strong collaboration skills within department and firm wide stakeholders

Skills and Abilities:

  • High level of customer service, including strong verbal and written communication
  • Superior attention-to-detail and accuracy
  • Strong time management, problem solving and prioritization in a fast-paced environment
  • Excellent presentation skills - ability to interpret complex data in a way that is relevant to the audience
  • Skilled in Microsoft Office, advanced MS Excel and data analytics
  • Maintain strict confidentiality and professionalism regarding all financial information
