Reporting to the Senior Manager, Administration, the Senior Legal Assistant contributes to the overall success of the Legal Department – Employment Law Group in Canada ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives. They ensure all activities conducted are in compliance with governing regulations, internal policies and procedures.


  • Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge.

  • Provides administrative support by:
    • Completing word processing, correspondence, converting documents from PDF to an editable Word format
    • Responsible for processing all legal settlements and related payment requisitions with Severances and Provision Teams
    • Managing the departmental stationery supplies, MFA and maintenance requests
    • Maintaining legal records offsite (Iron Mountain)
    • Processing: all expenses for lawyers using T&E system, and manual TyMetrix invoices for external legal counsel services; coordinating payment with other business units, as applicable
    • Coordinating meetings and managing appointments/calendar for VP
    • Arranging for the registration and payment of memberships, licences, seminars; travel arrangements, overseeing corporate expense cards, and preparation of expense statements using T&E and PRC systems
    • Managing ELG’s telephone and cellphones
    • Creating and maintaining both manual and online filing systems in M Drive and Legal Tracker
    • Assisting with departmental software training

  • Provides paralegal support by:
    • Problem solving and advising on HR, ER, Benefits, Total Rewards, Benefits, Recruitment and other Business Line-related employee matters
    • Solely monitoring, responding to and completing requests sent to the ELG Admin mailbox within a predetermined timeline, including assigning files to ELG lawyers
    • Database management and Legal Tracker, including opening, updating, and closing files and reporting
    • Accepting couriers and servings of legal documents for ELG
    • Composing/drafting legal documents under the direction of counsel, including basic internal and external correspondence, reports, memoranda, presentations, using templates and precedents
    • Providing paralegal support to ELG in litigation preparation, which may include assisting with documentary production requests, tracking/reviewing files, preparation of undertakings, responding to disclosure requests, affidavits of documents, hearing document brief preparation and finalizing settlements
    • Working with eDiscovery, and our external counsel on Litigation matters using Relativity, responsible for submitting all Legal Hold/Preservation requests for ELG and searching/reviewing large and multiple litigation production requests
    • Creation and distribution of Monthly and Quarterly Reports (List of Reports: GBM, ScotiaMcLeod, Tangerine, ELG Investigations, ELG Matters Where Bank is Plaintiff, Litigation Matters over $500K, Annual Litigation Reports, SCI Litigation Reporting, ELG, ELG Matters: Litigation/Advice & Counsel, LTD Trust Report & Audit Responses)
    • Managing ELG precedents in ER Portal and M Drive
    • Tracking and entering all loss events/settlements where ELG has taken a legal provision in ORM (Operational Risk Management) for all confidential employment law matters, entered/approved quarterly

  • With respect to special projects on a global basis, the Senior Legal Assistant and Law Clerk is responsible for creating and maintaining all files, databases, spread sheets and reports that are required to manage the project for Employment Law Group.
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursues effective and efficient operations of his/her respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

Education and Experience:

  • A minimum of four years of legal administrative experience at a law firm and/or an in-house legal department
  • Advanced computer skills, proficiency with MS Office and the Internet
  • Exceptional communication and organizational skills
  • Law Clerk’s Diploma would be an asset
  • Strong knowledge of legal concepts, ideally in Employment Law
